A hail event dropped nearly a quarter's worth of property claims on a regional mutual insurer inside four days, and the claims manager watched her team's process fail in slow motion. First notices arrived by email, were retyped into the claims system, and triage happened in whatever order the inbox presented.
We built the surge tooling she asked for afterwards. An Outlook panel now reads an incoming notice, matches the policy, and creates the claim record with severity flags the team defined, so triage happens at the moment of arrival rather than days later. Adjusters work from an Excel view that ranks open claims by exposure and days waiting, fed live from the same records. The next storm season processed a comparable spike with no overtime and, more tellingly, no complaints to the regulator about acknowledgement delays. The inbox side is our standard Outlook development; settlement letters run through Word automation.
Not a replacement for core systems
Modern policy administration platforms include claims intake and document generation, and if yours does, configure it before commissioning anything. Custom Office work fits insurers and brokers whose core system predates those features, or whose Excel-based reserving and Outlook-based client contact will realistically never move. Low claim volumes rarely justify a build; a shared mailbox with good conventions handles a few claims a week better than software you then have to maintain.
